Business Challenge

• The need to automate the supply chain and transaction management process consisting of more than 25 retail outlets receiving raw materials and selling fresh fruit juice & food items on a daily basis.
• Need for the consolidation of operational data and the controlled collaboration of teams spread over different retail outlet locations. Operational data was being tracked using Excel sheets and paper records and then sent to the head office at the end of each day for tallying of daily and monthly figures.
• Need for streamlining the movement of goods & raw materials between the head office and the retail outlets. Depending on the type of goods and the performance of the retail outlet, goods were transported between the head office and the retail outlet at different intervals.
• Manually tracking the performance and income generated at each outlet. This was a cumbersome process that involved determining the expenditure, waste, wages and sales at the outlet and then calculating the income based on these factors.
• Identifying benchmarks and deriving performance analytics of a Juice Junction retail outlet based upon past and current sales records.
• The waste estimation and management was performed manually and relied heavily on experience. There was a possibility of an outlet receiving fewer goods than required and also of misappropriation of goods.
• Delegation of tasks was quite difficult. There was a high level of dependency on the skill and the experience of a few senior members due to the lack of a structured process driven system.

• WOLF team helped Juice Junction to develop a web based supply chain and transaction management application accessible over a browser.
• The application categorized operations and related data such that different teams worked with only relevant data. The head office was provided with access to the consolidated data from all the retail outlets for performance analysis and verification. The application interface was designed similar to the Excel sheets currently being used thereby enabling easy adoption across the organization.
• Implemented strict security and access control to ensure data integrity and privacy. Creation of Users based on different Roles, thereby preventing unauthorized access to expense information and other sensitive data.
• Categorization of various goods & raw materials based on their type and the frequency of their transportation into structured inventory items, perishable items and miscellaneous expenses.
• Introduced a high level of transparency by creating a process for monitoring the expenses related to each type of good at every retail outlet. Created reports that automated the process of calculating the sales and income at every retail outlet. These reports could be generated for any time frame.
• Implemented analytics driven by Business Rules at every stage of the process to bring about process improvement, fraud prevention measures and further derive intelligence from the data. The system provides critical performance measures such as highest and lowest selling item at a retail outlet in comparison to previous dates.
• The application streamlined the waste estimation process by capturing the goods sent and the sales at a retail outlet. This gives a clear picture of the daily wastage of perishable items and helps in estimating the amount of goods to be sent for the next day.

Result and Summary:

• The WOLF based Application automated the process of supply chain and transaction management with a significant reduction in errors. Seamless adoption by the entire team with minimum training. Controlled collaboration of teams across operational locations based upon secured role based login.
• Application provides real time access to operational data and performance of different retail outlets. Reduced the time spend daily in documentation, data entry and updating of records which was previously done manually.
• Introduced processes for monitoring movement and tracking of expenses for goods and raw materials. Significant increase in productivity and reduction in operational costs.
• The application was up and running within 13 working days and users where on board with only 2 hours of quick demonstration. High data security with 128 bit encryption enabled URL, access controlled role based user system with options to export data based upon individual login.

There is no maintenance fee, only per user per month user fee and the platform is always automatically updated with the latest features for the Juice Junction Application.
